Turn a Publication Checklist Into a Record of Evidence

Make a publication checklist reliable by defining what proves each item complete. Record the actual file or field reviewed, the observation, and the date, with unresolved issues kept visible. A checkmark should describe an evidenced state of the release package. It should not stand for an intention, an earlier draft review, or an assumption that another person completed the work.

Replace vague items with observable questions

Read the checklist and identify entries that different reviewers could interpret differently. A line such as check formatting might mean opening the PDF, inspecting a few pages, or reviewing every relevant layout feature. Define the actual scope. For example, identify the representative page types and exceptional content that must be inspected in the final export, alongside any required full-file checks.

Keep the checklist proportionate to the book while making its meaning clear. A text-only novel and an illustrated reference guide need different content observations. Use the manuscript's real features to select review tasks instead of copying an expansive checklist whose items are routinely marked complete without inspection. The list should help the reviewer find defects that matter to this release, not create an impressive-looking record detached from the files.

Connect each item to the version being reviewed

Identify the manuscript, cover, metadata record, and export versions at the start of the review. Use stable filenames or other reliable identifiers so the evidence can be connected to the actual package. If a file changes, determine which checklist items depend on the changed content. A review of yesterday's export is not automatically evidence for a newly generated PDF with different pages.

Separate source checks from output checks. Confirming that the source has the intended headings does not prove that navigation in the export works. Confirming that a cover source contains corrected wording does not prove that the upload candidate uses that export. Each item should refer to the layer it actually evaluates. This avoids a chain of assumptions in which every person checked something related, but nobody checked the final selected file.

Record results that another reviewer can interpret

For each completed item, add a concise observation and the relevant evidence location. A note that three figure references now point to the intended diagrams is more useful than a bare done label. Include the reviewer and date where the workflow needs accountability. Keep the record readable; excessive screenshots of ordinary steps can obscure the few pieces of evidence needed to understand a significant decision.

Use distinct states for passed, not applicable, and unresolved, with reasons where needed. Not applicable should explain why the requirement does not concern this edition, rather than hide work the reviewer could not complete. An unresolved item should identify the question and next action. The checklist becomes useful when it accurately represents uncertainty instead of pressuring the author to turn every row green before the evidence exists.

Tie changing requirements to dated sources

For items that depend on current KDP rules, record the official guidance consulted and the review date. Describe the relevant requirement narrowly enough to compare it with the book's actual configuration. Avoid a broad statement that KDP was checked when the evidence concerns only one format or one aspect of the package. Source scope matters as much as source authority.

Keep the author's editorial standards distinguishable from platform requirements. A useful chapter example may be part of the project's quality criteria without being a named submission rule. Both can belong in the release review, but labeling them accurately helps future editors understand what is mandatory under the platform and what the author chose to require for this book. Do not turn a local checklist into a claim of guaranteed platform acceptance.

Close the checklist against the selected release package

At the final checkpoint, verify that the files selected for submission are the ones referenced by the accepted review. Resolve stale identifiers and reopen affected items if a late change altered their basis. Check that unresolved findings have either been corrected with evidence or remain explicit blockers to the relevant approval. A completed export process does not itself close an open content or metadata issue.

Archive the checklist with the release package so a later revision can reuse valid evidence and identify checks that need repeating. Keep the record concise enough to revisit without reconstructing the entire project history. The result should answer what was checked, against which version and source, and with what outcome. That makes the checklist a practical release record rather than a ceremonial step performed after the important decisions have already become unclear.

Frequently asked questions

Clear answers for this publishing decision.

Is a checked box enough evidence that a file is ready?

Only when the item has a clear scope and the underlying review evidence is available. Record the version and observation so completion can be understood later.

Should all old checks be discarded after a late edit?

Assess dependencies. Preserve evidence whose basis remains valid and repeat the checks affected by changed content, specifications, metadata, or exports.

Does a complete local checklist guarantee KDP acceptance?

No. It documents the project’s review within its stated scope. Current platform requirements and the platform’s own review remain separate from local approval.

Format and interior

Which trim size, page count, margins, and bleed setting work together for my paperback?

Check the complete combination first: a trim size, ink and paper type, and page count must be a supported KDP set, and the page count then fixes the minimum inside margin and whether the interior needs a bleed page size.
