Proof the elements that carry meaning beyond ordinary paragraph text in each exported format. Scene separators, letters, messages, and emphasis can tell readers that time, viewpoint, or the source of a passage has changed. Check that these signals survive export and remain understandable at the intended reading size. A clean-looking body paragraph does not verify the novel's special text treatments.

Inventory the manuscript's special treatments

List the recurring elements that use a distinct presentation: scene breaks, quoted letters, text messages, journal entries, internal emphasis, or other devices. Record what each treatment means in this novel. A centered symbol might mark a time jump, while a different heading introduces a document. The proof should evaluate whether the reader can understand that function, not simply whether the treatment looks decorative.

Distinguish intentional variation from inconsistency. Two kinds of embedded documents may need different styles, but the difference should have a reason. A letter should not change presentation halfway through the book because separate chapters were copied from different drafts. Create a small reference sample of each approved treatment so the formatter and proofreader can compare the exports against a shared decision.

Test scene breaks at difficult page positions

Inspect separators that fall near the bottom or top of a print page. A break that is obvious in the middle of a page may become ambiguous when surrounded by page whitespace. Check whether the reader can still recognize the transition and whether a symbol or spacing rule behaves as intended. Review the source controls rather than repeatedly patching individual pages without understanding the recurring behavior.

For the ebook, examine the same transitions with different reading settings in a suitable previewer. Reflow can move the separator relative to the surrounding text. The reader should not mistake a new scene for a continuation merely because the visual cue became too subtle at a particular size. Avoid relying on a screenshot from one device setting as proof that the transition remains clear in every relevant presentation.

Read embedded documents as part of the narrative

Check where a letter, message, or diary entry begins and ends. The distinction should remain clear without forcing the reader to infer it from a sudden change in voice. Inspect attribution, indentation, spacing, and any headings used to identify the source. A closing paragraph that accidentally retains the special style can make the narrator appear to continue quoting the document after it has ended.

Review the content at the boundary as well as the formatting. If a message timestamp or sender name carries a clue, confirm that it remains attached to the right text and readable at the placed size. Do not convert meaningful text into an image solely for visual convenience without considering the reading consequences. Choose a presentation that preserves both the information and the intended relationship to the surrounding scene.

Check emphasis and unusual typography in context

Inspect italicized or otherwise emphasized passages for missing, extended, or inconsistent formatting. A style can disappear during import, or a selection can accidentally apply emphasis to an entire following paragraph. Compare the export with the approved source where the distinction affects meaning. Pay attention to passages that already contain nested emphasis, titles, or quoted thought, since these may require deliberate editorial decisions rather than automatic styling.

Read longer emphasized passages for comfort at the intended size. A treatment that works for a few words may become difficult across several pages. If the design changes, confirm that the narrative distinction remains understandable. The aim is not to preserve every source-document visual effect at any cost, but to carry the author's intended meaning into a usable publication format without introducing ambiguity.

Approve each format and repeat affected checks after revision

Keep ebook and print findings separate even when they originate from the same source manuscript. Record the file version, location, observed problem, and correction. Export fresh candidates after changes and revisit the affected elements. Current KDP formatting and file requirements still need their own review; a stylistic proof pass does not replace the technical preparation for the selected format.

Preserve the special-treatment reference with the approved source so later corrections and sequels can follow the same decisions. If a new kind of document or separator is introduced, add it deliberately and test it before applying it throughout the manuscript. The final proof should show that the reader can follow changes in scene, voice, and information source without being distracted or misled by the way the text was exported.

Frequently asked questions

Clear answers for this publishing decision.

Why check a scene separator at the top of a page?

Its meaning can become less obvious when combined with page whitespace. Review difficult positions so the reader still recognizes the intended transition rather than mistaking it for ordinary spacing.

Can the print proof approve all special treatments in the ebook?

No. Reflow and reading settings can change how separators and embedded text appear. Inspect each format independently using the actual candidate file.

Should unusual text always be rendered as an image?

Not automatically. Consider whether the presentation preserves readability and narrative information in the intended format. A visual shortcut can make meaningful text harder for readers to use.
