Before uploading, verify that the publication files meet KDP’s current file-security requirements. Keep protected review copies separate, prepare the authorized source export appropriately, and inspect the actual submission artifacts rather than assuming that being able to open a file proves it is ready.

Identify whether the file is a review copy

A project may use protected PDFs while circulating drafts for comment. Those files have a different purpose from the final publication export. Begin by identifying the intended upload artifact and its source, especially when a folder contains similarly named review, proof, and release versions.

Do not select a file merely because it opens successfully on the author's computer. The reader application may already have the access needed to display it, and its visible pages do not reveal every relevant setting. Record the file's identity and inspect its preparation state using suitable document tools before treating it as a submission candidate.

Read the current requirement for the selected format

KDP's hardcover cover checklist explicitly calls for removing file security and states that locked or encrypted files fail review. Its paperback submission guidance also identifies locked or encrypted files as a common failure. Check the current instructions for the actual manuscript and cover workflow being used.

Keep this requirement separate from the project's internal review practices. A protected review copy can serve an internal purpose without being the correct publication file. The final preparation decision should follow the applicable upload requirements and the author's authority over the source material, not an assumption that one file treatment is appropriate at every stage.

Inspect settings with an appropriate tool

Use a document application's relevant properties or inspection facilities to determine the file's security state. Confirm what the tool actually reports and which artifact it inspected. A screenshot of the first page or a successful local print attempt is not a complete substitute for examining the relevant file settings.

If a third-party contributor supplied the file, ask for an appropriately prepared publication export or the authorized source workflow when necessary. Do not attempt to bypass access controls or assume that possession of a review copy permits changing every restriction. Resolve the preparation issue through the proper project handoff and retain the supplied-file context.

Re-export from the authorized source when needed

Where the team controls the source, prepare a new publication export using settings suited to the current requirements. Give it a clear release identity and keep it separate from protected review versions. Record the source revision so the change in file preparation does not accidentally return the book to an older manuscript or cover.

Inspect the resulting content as well as its security settings. A new export can change fonts, image handling, or page appearance depending on the workflow. Removing the relevant file restriction is one correction; it does not establish that every other part of the regenerated artifact remains identical to the approved version.

Check manuscript and cover independently

The manuscript and cover may come from different applications or contributors. Verify each actual upload file rather than transferring the manuscript's result to the cover by assumption. Also distinguish print formats where separate release packages exist, so an approved paperback artifact is not mistaken for the current hardcover file.

Keep the findings in the release record with the exact filenames or other identity evidence used by the team. A generic checkbox saying PDF checked is too ambiguous when multiple files are involved. The record should make it possible for the uploader to select the files that were actually inspected.

Repeat the check after a replacement export

A late correction can produce a new file using an old review preset. Recheck the relevant settings whenever the approved artifact is replaced, and verify the platform's processing and preview for that actual upload. Do not assume that an earlier successful submission proves a later attachment has the same preparation state.

Keep content rights and privacy decisions separate from this technical check. A file without security restrictions is not automatically authorized for publication, and a technically compliant export still needs the rest of the book review. Close this issue when the selected files satisfy the current requirement and their identity matches the approved publication package.

Frequently asked questions

Clear answers for this publishing decision.

Does being able to open a PDF prove that it meets upload security requirements?

No. Inspect the relevant settings of the actual file. Local access or a visible page does not establish every property the publication workflow requires.

What should I do with a protected file supplied by a designer?

Request an appropriately prepared publication export through the authorized project workflow. Keep the review copy distinct and do not treat its presence as permission to bypass controls.

Should I check the cover if the manuscript already passed?

Yes. They can come from different applications and export settings. Inspect each actual submission artifact and repeat the check when a file is replaced.
